It is important that you understand this document (the ‘Contract’) because it explains the terms and conditions (‘Terms’) that will govern the contractual relationship between you and Epic Graduate School (the ‘Academy’ or ‘we’ or ‘our’).

Admission & Enrolment

• Your offer letter explains the steps you must take to accept your offer of a place and whether the offer is subject to any conditions.
• Acceptance of the offer and fulfilment of any conditions will entitle you to enrol with the academy for a specific course.
• You may not be permitted to enrol with the Academy if you provide incorrect or misleading information and/or fail to meet any of the conditions specified in your offer letter and/or have a relevant criminal conviction contrary to the Academy Admissions Policy and/or fail to pay the required tuition fees as specified in the Academy Tuition Fees Refund and Compensation Policy and/or cannot prove you have the right to study in the UK.

Attendance

• Regular attendance is very much required of all the students enrolled with us. The attendance track records are maintained by the Administration Office with the help of our faculty members time to time. The student will be asked to attend a meeting with the Course Director/Centre Manager if you fail to meet the required attendance percentage.

Fee Payment

• You must pay the full tuition fees to the Academy. A non-refundable Registration Fee of £100 is payable to the Academy for each selected course. For all the courses in the academy, there is a required initial deposit of 50% to be paid as a confirmation of enrolment. Students are responsible for registering to those bodies and making payments and subscriptions to them accordingly. The remaining balance of course fees can be paid in one of the following options:
• Full remaining payment of the course.
• The outstanding balance (of 50%) before the start of the course and the remaining balance within 1 week of the course commencement.
• A mutually-agreed payment plan.

Refund Policy

Any refund request should be made in writing to the managing director of the academy. Please note that failure to meet any of the above fee payment policies will lead to no claims being accepted and no refunds being made. When a learner is accepted and enrolled on a specific course, it will not be possible to defer the commencement of the course hence fees will not be refunded. If any student willingly opts out of the enrolled course, fees already paid are non-refundable. If the Academy decides on valid grounds not to run a course or terminates a particular course before its completion, due to lack of a viable number of students or any other reason, students may transfer to an alternative course in EPIC GRADUATE SCHOOL or the tuition fees already paid for the remaining duration of the course will be refunded. If a student chooses to withdraw from a course, the following refund policy will be applied:

• If written notice is given a minimum of 4 weeks before the commencement of the course, all fees paid will be refunded less than £200.
• If less than a 4-week notice is given before the course commencement, £300 will be retained by the Academy.
• After the commencement of the course, no fees can be refunded and remaining balance will be charged.
• In order to apply for a refund application, the student must supply the proof of fees paid to the academy.
• If students want to defer the course to the next intake, a deferment fee will be charged.

Students will be charged for missing a payment agreement where no viable explanation given to the Academy. A £45 charge will be applied for non-payment of instalment. Any settlement of payment, if agreed, will be negotiated by the agreement of both parties (academy and student).

Disclaimer

The Academy will provide its resource services such as a library, IT, and other services as per the Academy published materials. Sometimes it may not be possible for the circumstances beyond the academy control such as:

1. Industrial action of the academy staff or third parties;
2. Unexpected departure or absence of key members of staff;
3. Power failure;
4. Acts of terrorism;
5. Damage to buildings or equipment;
6. Acts of any governmental or local authority; or
7. The College IT system failure, repair or improvement
8. Health and safety policy

The Academy does not accept responsibility or liability for loss of personal property.  You are reminded not to keep any personal belonging unattended at any time for security reason and loss and damage.  You are advised to take out personal insurance to cover any loss or damage to personal property.

Data Protection Regulations

We will store any information given by the student on a computer and on papers which shall be used by the academy in accordance with it’s the data protection policies. Vertex Academy of Development Studies will use your personal information for academic and/or administrative purposes, including providing references on your behalf. The Academy is legally required to release your personal data to statutory bodies such as the different Awarding bodies etc. Your personal data will also be released where other legislation, such as the Protection of Children Act 1999 or the Mental Health Act 2007, overrules the principles of the Data Protection Act 1998.
